Alcohol help needed!

    Our wedding is in just over a week and our connection to get alcohol fell through (FI's groomsman dropped out of the wedding at the last minute and their friendship is basically over - he was supplying all of the alcohol). So now we're struggling to get everything ourselves and I don't really know how many of each kind we should get.

    Here are the details:

    65 guests, daytime Sunday wedding

    Wine: 1 red, 1 white, 1 blush

    Beer: 2 kinds of "regular" beer, 1 seasonal pumpkin beer, 1 hard cider

    Signature cocktail #1 - Vanilla vodka, Pumpkin liqueur, Bailey's with Caramel

    Signature cocktail #2 - Prosecco, Creme de Cassis, and Blackberry juice

    Can anyone help us figure out approximately how many bottles of wine, beer, vodka and Prosecco we need? I'd rather get more than I need than worry about running out - we can return unopened bottles, but we don't have much money and don't want to spend too much more than we need to.

    Ok, I used to bartend but I'm no expert.  I always err on the side of WAAAAAY too much.  Do you have a BJ's wholesale near you?  Or google some kind of wholesale supplier for the public (as opposed to restaurants).  This is what I'd supply:

     

    Prosecco: 22-25 bottles (you can get a really cheap brand because when its mixed in a drink you won't be able to tell the difference.  I said this many if you're doing a champagne toast as well, if not, drop it to half of this, you don't need a lot in a mixed drink, trust me!)

    The vodka, I'd get like 6 bottles.  Just like the prosecco it goes a long way and NO ONE can notice the difference so stray from grey goose and go toward inexpensive.

    Red wine:  6 large bottles of merlot, shiraz, cabernet, pinot noir

    White wine:  10 large bottles (its more popular, especially during the day time).  get pinot griogio, white zin, chardonnay, riesling

    And I'd get like, 2 30 packs of each beer you want.  You'll totally have extra but like you said, you'd rather have more.  And if you can't return it all, I'm sure it'll be taken care of.  I hope I didn't just throw you off, that's just what I'd do!

    Okay, first of all, that stinks about the groomsman but all things happen for a reason.

    Well, my venue told me they suggest (for estimating charges), 1 drink per guest, per hour. Where your wedding is daytime Sunday rather than late Saturday night, people might not be throwing back like they sometimes would be.

    Do you know whether the majority of your friends prefer beer or wine? If it were me, I’d try to make a list of who drinks what – if you find 90% of your guests drink beer, no need to buy that much wine. If it’s about 50/50 for beer/wine drinkers, I would probably get 3 cases of red wine, and 4 cases of white wine. I don't usually drink beer, so I'm not sure if it would be better for you to get a keg, or stick with bottles, sorry.

    Those cocktails sound yummy, but more "dessert-like" to me, so I would guess most people who have a cocktail wouldn't have more than 1 (maybe thats just me, I don't really like sweeter/creamy cocktails, although that pumpkin one does sound yummy - like pie!!). So, I'd probably get 4 bottles of vodka. I'd probably get a case of Prosecco, as some people might like to drink it by itself, in addition to being in the cocktail.

    Find an alcohol wholesaler.  The alcohol is much cheaper from a wholesaler, usually they will buy back unopened bottles, and they are experts at this, so they will help you calculate what you need.

    Thank you so much for the help, everyone! Those drink calculators don't really work for my needs, since I'm having three kinds of wine and only a few bottles of liquor, but I think I have a better idea of what to get now. There is a place near my parents' house called Corridor Wine, which is kind of like a wine warehouse, that has really good prices and will give me an extra 10% when I buy a case, so I think I will go see them this weekend and see how much everything will be.

    I wish that we had a Trader Joe's near us that sold alcohol; I've heard that their $3 bottles of wine are fantastic!
