For each task that I have, I've developed a "how to" sheet with detailed instructions included with whatever props are needed for the task. Instant wedding in a box. This way, anyone who is pitching in can do the task without needing to talk to me (including decorations). It's been a pain in the a$$ to set up, but hopefully worth it in the end!
