Amy Turner : Can you do cocktail hour in another room? Or possibly outside?

Amy Turner :  This is not uncommon in ballroom venues. That being said generally guests are not in the room as it is flipped, but rather ushered to another room for cocktail hour while the staff flips the room in private. I personally would look into other options if there is no room for your guests to go for a seperate cocktai hour space – I wouldn’t want my guests watching the staff flip the room….I would find that tacky.

We are having our ceremony and reception in the same room.  It’s not 100% ideal, but I really don’t care lol.  The reception area will be set up and hidden behind a white drape.  During cocktail hour they will take the chairs and put them at the table.  I’m hoping everyone will be busy getting their drinks and apps that they won’t really notice or care.

Ours is in the same room too. We’re taking everyone outside for a group photo while it’s flipped since there’s nowhere to have cocktail hour without the guests seeing the changeover (giant room).  So 1. Ceremony 2. Group Photo 3. Cocktail hour.  Maybe something like that could work for you?

Amy Turner :  I think it is kind of tacky to flip the room while guests are still inside the space BUT it sounds like you have several options on where guests could go after the ceremony. Choose one of those spaces for your cocktail hour and you won’t have a problem. Your planner or the venue will direct guests to the cocktail hour location, while the venue closes off the ballroom and flips the room. Room flips Take place ALL THE TIME, so don’t let your family plant any doubt! 👍🏽😀

As a guest I wouldn’t care about seeing the room flipped at all. A “reception space reveal” doesn’t factor into my enjoyment of a wedding. You have paces for guests to go if they want to go elsewhere, so I think your plan is fine.

You have places to go whilst they flip it so I wouldn’t worry about it, maybe you could take photos in that time? We have a ballroom room and we ll just go to the balcony and get photos taken whilst they re switching it round 🙂

I had my ceremony and reception in the same space, and due to torrential rain we couldn’t send everyone outside for cocktail hour as we’d planned. 🙁 Ultimately, though, everyone gathered near the bars and didn’t seem to really notice the staff moving chairs. The whole flip was done in about 5 minutes. It wasn’t ideal, but I didn’t even notice it during the day!
