Hi there, looking for a little brain power from you all.
A dream of ours is to host a weekend full of fun for our families and friends in Vermont or New Hampshire. So a destination style wedding, but it will be within an 8-hour drive for most guests. We’ve actually found a suitable and affordable place to make this happen. We’re not decided on it yet, but part of our hesitations are some concerns about how to coordinate it all.
The venue has several cabins in various configurations of bedrooms. 1, 2, 3, bedroom cabins, with a variety of beds (some twins, bunks, queens, kings, etc.). They quoted us one fee ($5000) that would cover all the cabins for however many people we wanted to get in there & the field where we’d put up our tent.
Alternatively, they offered to take reservations from guests, charging $250 per cabin for the weekend no matter how many people are in the cabin.
We do want to get as many people to stay for the whole weekend as we can, and feel like the rate is lower than a hotel would be elsewhere for even just one night, so we aren’t asking too much.
How can we organize this? We would want the cabins to be organized by groups, and put all the “party people” back in a specific area so the noise doesn’t keep others up. How can we give people their cabin assignments? They won’t know who else is invited unless we give them an idea of who to pool resources with before they make their reservations.
If we divide up the cost and charge a “per person” rate and just ask people to pay us that, we’re worried we won’t know in advance how many people are staying & could end up stuck with more of the bill than we can afford.
Sorry this is so long. I’m totally lost on ideas for how to coordinate this.
