Logistically it is going to be a nightmare to manage bookings for all those people. If you’re not paying for them, then you should just let them book with whoever and whenever they want. That way they can choose their exact dates and preferred airlines. And you don’t have to get invalves.

fwiw many travel agency tickets are a little more flexible than what you get direct from the airline and may include fee-free changes or price locks, so that may be why they are more expensive.

@Horseradish:  I agree.

I would let them sort themselves out. People have airlines they like to use and/or may want to collect miles. I would send out STDs ASAP though. People need a lot of notice to book international flights.

@LyndaButterfly:  Travel agents work for commissions so it is in their interest to sell you the most expensive package that they can. You already know the answer to this though- you will most often get a better booking yourself than through a TA.

But I agree with PP’s. Let everyone book their own travel. That way they can leave when they want. The most I would do is send them links to sites or deals.

@LyndaButterfly:  They were just counting on you to be lazy and not check! Can’t blame them since a lot of people are still too scared to book online or DIY.

@LyndaButterfly:  So this is how my uncle, who’s also my travel agent explained it to me – when you ask for a group booking, the agent will ask for quotes from a number of vacation package wholesellers. In order to make it a group booking, they are also booking a block of seats together on the airline. However, the airline charges different prices for the seats depending on location. Because of this, the wholesale company adds up the costs & then divides  it by the number of people. This raises the per person price but everyone ends up paying the same amount. Add to this, there is also flexibility around bookings as PP’s mentioned. 

 

Personally, we’ve chosen not to go with the group rate because 1) we’re not 100% sure about who’s going 2) we can’t afford to pay the deposit on behalf of others and 3) we don’t want people to feel obligated to buy the group rate with our TA. We’re getting married in Punta Cana, DR next June so we sent out our STD’s in Oct and just mentioned on there that if they wanted a TA, they could use ours. People are free to book however they choose to though. 

 

I suggest you book your wedding date with the resort ASAP and then select the cheapest day to fly out there. And get those STD’s out quick! Sorry this is so long, PM me if you need more info!

her name is Pam and she has helped us plan our destination wedding to Cuba. She will get you a good rate and your payment shouldn’t be due as early as the others. I looked for months to find someone who could do this for us. We have a group of 25 going with us in February and because of our date of February 14, we booked back in April with our deposit and our final payment wasn’t due until just this past Friday. If your wedding is less than 90 days from now you most likely would need to pay it all but I highly recommend you send out save the date cards now and let her worry about your # of guests. She’s been FANTASTIC! She’s in Ontario but she does everything over the phone/email so it doesn’t matter where you are in Canada she should be able to help you! She takes care of it all including introducing you to the person who plans the weddings at the resort. I couldn’t have been happier with how she’s helped us!

@LyndaButterfly:  Also, she can arrange for people leaving from other provinces or countries for that matter. my FI cousin from England was going to consider coming and she got him a quote as well. She’s absolutely amazing!

@LyndaButterfly:  No Problem. We booked our date with her because she has all the contacts with the resorts and knows what is required in terms of paperwork etc and will send it all off for you. And she doesn’t charge either. You can book just yourselves through her – she specializes in Honeymoons and Destination Weddings and got us a lower rate than the other 5 places I emailed/visited when trying to get a quote. However if you don’t mind all your guests being scattered among the resort or risking not getting into the same resort because you don’t have it secured then I guess having them book alone is the way to go. Also if you were to book all together and get 25 or more adult guests most resorts offer a free package meaning you won’t have to pay for your actual ceremony which for us in Cuba was going to be close to $800 which is why we chose to go with the group rate. She can also get promotions like the 16th adult is free, which also in our case resulted in m FI and I only paying the price of 1 person not the per person price everyone else paid which made it much cheaper on us, the bride and groom.

@LyndaButterfly: Unless it were a wedding I absolutely had to attend (basically immediate family and best friends), I would be reluctant to go to a wedding where the bride and groom tried to make me book an all-inclusive package. I would be happy to meet people in the destination, but staying in all-inclusive resorts is not how I like to travel. Since some of your guests might not to want to stay at the same resort as you, I think everyone would be better off booking their own trips. Also, people can be so flaky about this stuff, that it would probably be a nightmare to try to get money from everyone.
