So we are having a laid back reception with a BBQ  style  buffet meal.... I know we will have tons of food so I just want our vendors to help themselves to the meal as well once everyone has been through the line...

My questions is this... how do you let your vendors know about this? If you are outside in an open space where do they sit?  Im just not sure how to handle this. We are very laid back and dont mind them sitting amongst our guests we love our vendors but how do we let them know what to do

You can let them know at your final meeting. If you are having a "cocktail hour" they can sit at the designated cocktail space. Some vendors prefer not to interfere with the party as they are not actual guests.

We are also having a buffet, but we are doing assigned tables. We will have a vendor table set up the same way as the tables for our guests, except it will be just for the vendors.

We are just asking our vendors if they would like a meal and letting them know that they can eat from the buffet like the regular guests and that there will be a table for them to eat at.

In your case, I would just ask them if they would like a meal, and if they do, then I would just let them know they can eat from the regular buffet. Since there is no assigned tables and/or seating, I am sure they will find a place. Just let them know that you aren't banishing them from the area.

well... our photographerswe are close to and already know they will be able to help themseleves to anything we have once all of our guests have been

I might just set up a table in the back and reserve it for my vendors but there will not be that many honestly.

Our hostess, 2 photographers, our DJ, Our officiant & his wife will probably sit with some of andy's family that he knows, our cake lady is staying to cut our cake so we will feed her and the people running the snow cone booth
