I have a ceremony location and a back up ceremony location (in case of bad weather). The ceremony should be several miles from the hotel that the reception is at (and where most guests are staying). The back up location is at the same place as the reception.
So my question is… how do we inform the guests if we switch to the back up location? This is something that we may not decide until the day of.. I know I’m not the first bride to have a back up. So how do you do it?

ekelso92: Have you already mailed your invitations? If not, I would include an insert giving the address of the alternate location and telling your guests how they will be informed if the location is changed.
Do you have a phone number where you could leave a recorded message the day of to either confirm the original location or direct them to the new one?
Do you have a website?

ekelso92: For those staying at the hotel you should be able to leave a message at the front desk for the change of location of ceremony that the guests can ask if the wedding will be held there or at your ceremony location. I agree with Julies1949 with the adding of the insert with invitations if those haven’t been sent out or if you have a wedding website to post alternate location information on there. If the invitations have been sent out, you may want to call/e-mail all of your guests and inform them that the location of the ceremony may change. Just make sure you assign a couple people to take phone calls from guests as if you wait last minute to make the decision, you’ll probably get lots of calls finding out where they need to go. Is it weather that is preventing you on making the decision? Maybe you could have your ceremony/reception all at the hotel and if its a nice day, do pictures with family/friends/bridal party at the original cereony location? Just things to think about 😀 I hope everything works out for you in the end!!

Thanks for the feedback! I have no sent out the invitations yet. I am worried about confusing people. Our location is in a very old chapel that is not air conditioned (wedding is in August). So therefore the backup is the outdoor location at the hotel. I feel like people may not understand that the backup location is actually the outdoor space. Our thought process is that if it is over 85 degrees outside.. it will be unbearable to be stuffed in a non air conditioned church for an hour.. but being outside when it’s hot is acceptable.
We do have a website and plan on posting it on there. However, not all of the older guests can access it. I like the idea of informing the guests staying at the hotel, it is a destination wedding and almost all of our guests at staying at the reception location.
