We have booked room blocks at two hotels, that are approximately 15-20 minutes from the venue. Because it’s a holiday weekend, closer venues had a two night minimum, so rather than appear like we are expecting that of our guests, we reserved the two farther hotels that only require one night.
Because of this, we are considering hiring transportation to shuttle the guests, with one initial pickup and several drop offs in the evening (the hotels neighbor eachother). How do I ask the guests if they’ll be staying at a hotel? If say only 5 people stay, then we will make a sign of local taxis, but if 30 people stay, I’d like to provide the transportation.
I’m thinking maybe listing the two hotels with their discounted rates on the information card and writing something like ‘If you choose to stay at either reserved hotel, please contact me at xxx so I may determine the need for a shuttle’?
Basically I want to be able to indicate that a shuttle will most likely be available, but not guaranteed. And I want people to let me know if they’ll be staying. Has anyone else had to consider anything like this?
Also, I know that I don’t have to provide transportation, but I would like to try so I’m just looking for advice on the best wording to ask in the invitation suite.
