How to communicate time-sensitivity w/ booking guest hotel rooms

@calisunshine3404:  I would include it as an insert in the invitation because I found most people didn’t look at the website.

I would word it something like this:

A block of rooms is booked at X hotel under the code XXXXX.  The group rate is only guaranteed if booked before (3 weeks date).

@calisunshine3404:  I suggest  you use as many methods of communication as possible. Include it on your insert and website, and also use word of mouth.

A block of rooms has been reserved at _____ at a group rate of ___

Reservations must be made by ____ to obtain  a room in this block.

For updated information see our website___.

 

A soon as the first block of rooms is full, you can update the website.

We had an information insert and a website. I put on the insert that August was high season in our location and that places to stay at an affordable place could be hard to come by. We recommend booking as soon as possible. Please see our website for room block information. (or something like that)O
