I thought I had it all figured out, but my BM – who is great with decorations has me NERVOUS! I took my BM to see my venue yesterday and we discussed the layout and decorations and I was completely excited until she asked me what time was setup! The ceremony is at 4 and there is about a 30 minute travel time from ceremy to reception. The coordinator and setup crew, are not able to begin setup until 5, because it’s at a museum. My thought was that the ceremony would last until 4:45, people would linger until about 5. Commute to the venue, would have them arriving at 5:30, but it NEVER dawned on me that the reception venue wouldn’t be set up 🙁 She has me frightened that the ceremony will be over and people will at the reception venue, before setup is complete. I can’t move back my ceremony time because the save the dates are printed and this is the latest the church will allow us to have the cermony.
One thing I did think of last night was to have a brief cocktail/mingling hour and block off one section of the reception venue, to give the setup crew more time..thoughts?!

I think a cocktail hour somewhere else would be a great idea. Also, you should think about having a day of coordinator who can show up at the reception location right at 5 when setup can begin so that you don’t have to worry about having people in your family running over there frantically.

yes, my day of coordinator will be there at 5 and the museum crew and caters, so it MAY be enough hands to get it all done. I really don’t want to have a 3rd location for the cocktail hour, so I think we may just section off one part of the venue for about 30 minutes

call me crazy but is there chance you can push your ceremony back to 430?

I will have to check with the church and see if they will allow it to be at 4:30. I’d have to reprint the save the dates, which isn’t a HUGE ordeal, because they were fairly inexpensive ARG!!!!!!!!!!!!

You put the time of the ceremony in the STDs? That isn’t usually on them.

I dont think it would be a big deal to NOT reprint the save the dates…..you could just try to get it out through word of mouth that your ceremony time has been pushed back 30 mins which isnt that big of a deal
