I would maybe do a little save the date card RSVP. Have your STD and then also include a smaller accomadations card which states: 

 

In the spirit of celebration, rooms for the nights of July 3rd and July 4th will be provided at the Grand Summit Hotel in Bartlett, NH. If you are able to celebrate with us please RSVP to Sally Smith by Saturday Month Date to ensure a room.

 If you wish to personally extend your stay, please contact the Grand Summit Hotel at ________.

at (401) ========= by that date. If you wish to then personally extend your stay, please contact the Grand Summit Hotel at —-.”

Make sure that you give them an RSVP date that is about a week or two ahead of your actual deadline date for the hotel. That will give you some time to chase down non-responses.

WOW! I have never, ever heard of such a generous offer before!!! It is so amazing that they are doing that!

Actually, since it is so rare, if I read that I’m not sure I would truly understand that the rooms are being paid for, (since it’s just sooo generous!!). Maybe you can add “as a gift to you…” or “at no expense to you…”, something like that to highlight that the rooms are indeed paid for??

@OoOTifsterOoO: I do have to agree with this. Rereading it, I think as a guest, I would automatically just assume “room block.” I would definitely say something along lines of, “As our thanks to you,…”

I would use something like “In the spririt of our celebration, we have arranged for a reservation in your name for the nights of X and Y at the Grand Summit hotel blahblah.    Please let us know if you can not use this gift to you.    Should you wish to extend the reservation, please call the resort directly at blahblahblah’

You’ll be providing a rooming list to the hotel – make sure only those 2 nights are routed to the master… and that it’s marked as self pay for all other nights.

Yeah, that’s hotel speak ๐Ÿ™‚ I’ve been coordinating and selling weddings for years at resorts.  and actually… I know right we’re you’re getting married ๐Ÿ˜‰ (Shhhh, I’m getting married at… their sister resort) (!)

I agree with the at no expense to your or as a gift to our guests hotel rooms blah blah blah. I think you do need that because if you just say we have reserved rooms for you or something along those lines people may think you booked a room in their name but they are required to pay for it.

Ya I read what you wrote just like it was a room block. You need to specify that it’s free.  I would also give your parents a little nod for their genorousity.
