Maybe use abbreviations on the chart, and have a little "guide" somewhere on the chart?
(eg: PT= pink tableclothes, CL= Christmas lights, etc.)

Hi Bees. I'm helping plan a friend's wedding and I wanted to get some advice on reception layout.
I have people to help me set up the ceremony and reception venues but I'm not sure the best way to lay the plans out for them so they will know where everything goes (mostly decor). I use Wedding Wire for the layout of tables and chairs but what about decorations and linen color, etc.
Does anyone have good suggestions?
