(Closed) Vendor advice?

Personally, I feel that if you have talked on the phone or met a vendor in person (anything that could constitute an interview), you absolutely should shoot them an email if you go with someone else, just saying, “Thanks, but no thanks.”  No additional explanation necessary, just letting them know that you won’t be using their services.

I think it is also polite if they email you back from your inquiry and you’ve already booked someone else to just say, “Thanks for replying, but we’ve already found someone.”  But it’s not as necessary as if you met with them.

They’re pros, and get many inquiries a week that pan out to nothing, so you really don’t have to worry about hurting their feelings.

It’s the nature of the business to know if they don’t reply right away that you may go with someone else. If you are certain that this person is the one you want to go with, then go with them. If other’s reply tell them thanks but no thanks but you will keep their info on file in case you may need their services at another time.
