I don’t want to be dramatic because this is not the worst thing that ever happened to a bride five weeks out, but I do need some advice. Our coordinator for the venue where we are having our wedding ceremony/reception wasn’t responding to my emails for the past couple of weeks, so we finally called only to find out that she is on “extended leave,” and they don’t know when/if she’s coming back. This is the person we have been dealing with for 1.5 years, who is in charge of everything on our day. They have someone filling in for her, and we left him a vm tonight, but I want to have a game plan together.
Cue panic, because this really is crunch time – finalizing menu, head count, details, logistics, etc. And while I kept great records and have copies saved of all written communication, I know there are some verbal discussions we have had that I am counting on the venue following through.
Basically, I’m looking for any tips from brides who have gone through this, or really any of you who have good advice for how to move forward. Obviously I’m not happy that they failed to alert FI and I that she left until we contacted them, but I’m looking for ways to move forward positively to ensure that the day runs smoothly. I’ll be scheduling an in-person meeting and bringing documentation of all phone calls, emails, discussions, contracts, but whatever advice you can give me is much appreciated!

o god, this brings me back. this happened to me and I just about had a panic attack. my venue didn’t even tell us that our coordinator wasn’t even working there anymore!!! Thankfully we got a new coordinator who ended up being better than the first, but we did have to break down and find an additional day-of-coordinator to feel like we had everything covered.

@KateByDesign: Ugh, sorry it happened to you too! We had a meeting set up with a day of coordinator this week just to see if it was something we wanted…now I know I’m going to take it a lot more seriously.

My venue fired my coordinator about 2 months before my wedding, but the person who replaced her was SOOOOOO much better, so I will hope for you that it’s the same!

Gah just found out she is not on extended leave, but actually quit, on July 2. And I’m trying not to be psycho, but they’ve known this for two weeks and didn’t alert the couples getting married there in the next few weeks?!
Reminding myself to breathe…and staying positive because you all seem to have pretty good survival stories. Thanks for sharing!
