Been a little nervous, now getting more so everyday… which is not my norm. I am pretty darn laid back and can “manage” just about any social event. However…We are from a small, close-knit community with lots of family as well. Daughter has guest list down (believe it or not) to somewhere around 450 people. Wedding is on a family farm, by a pond, with a large tent just steps away. We’ve got some of the big “stuff” out of the way: invitations, catering, cake, table decor, linens, tables, chairs. Working on tent lighting, paper lanterns, throwies, parking, etc. Just can’t quite picture that many people first off, and then the logistics of moving that many people around throughout the wedding and reception. Any Bees have a large outdoor wedding, without any special coordinators or venue assistance? How about a 40 by 120 tent reception? I would love any ideas, do’s and dont’s, etc. Thanks so much!!

You may want to consider fans/heaters. I’m from Indiana so I know the weather can be unexpected. I’d post some signs around the property directing people to reception, ceremony, bathroom, parking, etc. Worn wood with painted words seems to be popular these days.
It’d be fun to offer croquet, badmitton, etc during reception.

I know that Mrs. Tiramisu had a large outdoor wedding with throwies and all. She did get a coordinator, and from her description it helped a TON with organization and day-of details. From my own wedding, I can tell you that hiring a coordinator was the best decision I made. It takes the stress off of you, and I’m sure you will want to enjoy the celebration instead of coordinate.

We just had a wedding for about 170, all outdoors with a tent reception as well. While not quite as big as yours, I can definitely relate to your stress! Our wedding was also on a family farm and it is really a lot of work orchestrating everything and bringing everything in, though it seems like you’ve thought of a lot!
One thing I didn’t notice you mention — have you rented bathroom trailers? Most homes, even large homes, cannot handle more than 150 people using the septic system! Ours was really nice – it had tile floors, air conditioning, flushing toilets, the works! Of course it came with a big price tag but it was worth it and guests got a kick out of it!
Another thing — our tent was 40 x 100 for half as many people as you are having, with a buffet but no dance floor. Are you having a separate tent for dancing (if you are having it)? I would definitely make sure you have enough room!
And yes, hiring a DOC coordinator is HUGE. We are so glad we did – the best money we spent on the whole thing!

Thanks everyone for your responses. I was getting REALLY worried when no one responded at first. Had me really thinking we are just a little crazy for attempting!!!
We went “oh my” to Daniellemybelle! 🙂 Daughter’s Fiance has made our tent layout on the computer – complete with rectangle tables, dance floor, 2 buffet lines, and cake table. We do have 3 smaller tents for the “cocktails” (beer, wine, and signature drink, as well as a popcorn machine), a gift tent, and a photobooth tent. supposedly everyone will fit??? Sounds like… no! 🙂
Bathrooms are our next rental. That should be fun! Bride also found DIY blog about signs and is starting on that. We will read up on Mrs. Tiramisu blogs for other advice. Playing around with throwies and paper lanterns right now.

Your daughter’s wedding sounds so fun — I would be all about the popcorn machine! I think if you are having the “bar” in another tent, and the dancing in another tent, you might be able to squeeze in, but you could very well have some tables up on the buffet. Ask your rental people for their honest opinions!
