With a week to go, you need someone who’s competent so I’d request to speak to her superior ASAP. We had a problem with our catering manager when we were negotiating contracts and after a couple of weeks I filed an official complaint and was put in touch and spoke directly with the Vice President. I got everything I wanted out of it. Your complaints are justified. She should not be missing deadlines and you have every right to know of those extra charges.
