A wedding venue I was looking at told me how they do it – basically they get everything together for each table.  So each table has its own box or container of stuff that has everything from linens to flatware to centerpieces.  They pull out the tables, and then set them with the stuff for each.  They said it only takes them 15 minutes to flip a medium-sized (seats 125) room.

I have seen some photos taken in a museum type setting, or building downtown or a library that have turned out really well, not sure what your town is like, but maybe you could go on a field trip one day and check out some places. Your photographer and venue might have some good ideas too. You could also do a google search for wedding photos in your town and see what comes up. I have also seen a LOT of folks holding cute umbrellas in the rain and the photos turned out really well, depends on the severity of the rain though. 

As for the decor, have pictures or diagrams, i’ve seen some posts on here about how brides have put these together and a timeline for everyone and it seems to go over well (although often folks forget them, so maybe have back ups made to hand out haha). I have seen tupperwares for each table, so everyone can take a containor or box and do their own decorating.
