I’m assuming you will have to eat the cost. They usually have min numbers for a reason.

Tagging bc I’m also worried about this! I realized we made a mistake when we said we’d guarentee 120 in a venue that ONLY SEATS 120…. that made us afraid to overinvite for lack of room, and now I’m worried we will have less! We should’ve guarenteed 100, which was totally allowed! *facepalm*

hm_bride:  ahhh I’m having the same issue! normally min is 200. They made exception for us at 150. But with most guests out of town, I have NO idea if well be right on,more or lower. Were inviting 250 and can only afford 150! But soooo many are out of town and I’m guessing won’t be able to afford to come. Stress, ahhh!

There’s not anyone else you could invite? Allow people to bring +1s? I’ve been asked to a wedding (of a colleague) fairly last minute and certainly wasn’t offended. She just said ‘We would’ve loved to invite you originally but had lots of extended family obligations. However, we realised that we can add some people to our list so would love it if you could come’

Our venue will allow us to make food upgrades, but not linen upgrades.  They order the linen upgrades from another company so they really aren’t making money off them.  You’d be surprised at how quick you could use 1500 in upgrades.  It is about 17.60 per person- so one entree or bar upgrade and an addition of a sweet table should easily do it.  We might have to do that as well.  We guaranteed 125, but have a ton of out of town guests, and many of them who we thought would come now aren’t, so we might end up closer to 100.  Of course that would be easier to know if people actually sent in their rsvp in time.  We have a chicken and fish entree, and we looovve the chicken dish, so we figured if we really need to we will upgrade to chicken and steak.

amy_outhwaite:  It never hurts to ask.  Our venue let us add upgrades to the bar and cocktail hour (we only had 50 guests).

amy_outhwaite:  There’s a small possibility we’ll go just under the minimum so we’ll just offer a few extra +1’s. If we didnt, we’d have to pay anyway.

Speak to your venue, I think in most instances they’d make you pay it otherwise they’re losing out but you may get lucky!

i have a min. food/drink cost but not min. attendance. maybe just ask the venue?

I’d definitely ask. My friend had a high minimum for their caterer and a smallish wedding so they a five course meal and awesome smoothie bar and chocolate fountain and milk fountain with cookies. It was the best wedding food ever!

You should ask.  With my venue, I just paid for the maount of guests (their limit was 250, I was planing for 150…. a few days before the wedding, I just paid for the number of tables and seats I needed for my final count of guests.

With my caterer, I had already paid for 150 guests so they allowed me to upgrade which was awesome.  I was able to get a few additonal things that was originally not in my budget.  They were super nice, LOVED my caterers.  I actually recommended them to my friend’s sister and she hired them the next year for her wedding. Well, she was at my wedding as well and loved the food, everyone raved about the food and service.  

Also, with my florists, he allowed me to add transportation and set up to the budget, something I couldn’t afford initially because I went from a set number of tables for 150 to another lower number of centerpieces.  I much rathered transporation and set up of centerpieces to my money back.  She was awesome…. she gave me the most awesome deal and everything was perfect.
