It’s up to you.  She definitely needs a meal (and you may be contractually obligated to provide one).  You can ask her what she is most comfortable with.  She may have a preferred time to eat, although when you eat is usually the best time – you’re probably not putting shots of you mid-chew in your photo album.  I know friends who included the photographer in with the guests.  I know friends whose venue had a place for vendors to eat (these were usually dedicated wedding venues).   Usually wedding vendors are pretty adept at mingling and getting along with people, so even though it’s a small wedding I’m sure at the table with everyone else will be just fine.

When in doubt, just ask her what her preference is.

We were meant to give our photographer a main course, but one of DHs friends cancelled on the day so we gave the photographer his 3 course meal and a glass of wine, since we’d paid for it anyway!! We had 40 people, but didn’t have the photographer with us – he sat at a table outside and then came back to take photos of the speeches after dinner.

We had a table set up outside our room for our photographer ๐Ÿ™‚ Then he came back in to take photos of speeches.

nompkinsbee :  we asked what our photographers would prefer and they wanted a separate area to have a meal in. We asked the hotel to provide them with a meal in the bar area. They personally preferred to be away from us and have a visible break rather than guests asking for photos when they’re trying to eat.

Just ask her ๐Ÿ™‚ mine said I could include her on the seating plan if I wanted or ask the venue to put a table on the side for her. I’m going to go the seating plan option.

nompkinsbee :  We’re feeding our photographers the Wedding Breakfast, but the videographers, pianist etc are able to order food from the bar which we will pay for up to £30 pp.

nompkinsbee :   Our photographers sat with our guests.  We put them next to guests who were close to them in age, and who shared some interests.

I generally prefer to eat my meal in a seperate room. While logically people KNOW we need a break, I hate eating in front of the guests or be seen sitting. Usually we’ll grab our plates and go to a side room, or find a quiet spot. Usually while we eat dinner is also the time we re-group (since getting from ceremony/formals to reception and through intros/dances can be hectic) and swap out for fresh batteries, change memory cards, and just get our gear organized.

nompkinsbee :  My photographer just joined us for the meal, which was buffet style.  No problem at all, people engaged her in conversation and she wasn’t taking pictures of us stuffing our faces.  We had about 36 people, including ourselves and no seating plan.  Worked out fine.

ETA: I see a photograher’s comment just above mine… we held our reception prior to the wedding ceremony and dessert after with no desire for reception photos, so no swapping of batteries, etc. needed :o)

I’d try to offer them their own space. If I was spending 8-10 days on my feet a welcome break of down time would be so necessary.

I put my photographers on the seating chart, so they would receive their meals just as the guests did. Our main photographer ended up eating at a cocktail table with his camera ready. The second shooter sat with the guests. It didn’t matter to me either way, and they did as they preferred.

Ours had in the contract that they needed a hot meal. We eloped at a hotel so we let them go to the bar and order a hot meal while we were eating. We told the hotel about it before hand and we just paid the next day when we were checking out.

I’d ask him/her what they prefer. Some like to sit with guests, some like to sit on their own. Either way you need to feed em (which you are), so let them sit where they want ๐Ÿ™‚
