Can you talk to your caterer and explain what happened? Maybe they can work out a payment arrangement or something?

Are you allowed to bring in outside food? You could buy food in bulk for appetizers or even lunch (like finger sandwiches) and do the food that way.

Oh no!  Don’t worry, and don’t cancel!  You can totally make this work.

Can you give us a few more details about what your new budget is and how flexible your venue is about food (do they have a list of preferred caterers?  do they require a caterer with a license?  etc.)?

I would try to keep lunch, since you’re right that telling everyone about the change in plans will be a bit difficult and if people come expecting lunch and don’t get it, people will either be really grumpy or will leave early.  Could you do something like order a bunch of catering trays from your favorite restaraunt (italian places especially give you a ton of food for not a lot of money) and do a buffet-style lunch instead?

Ugh, so sorry this is happening to you. So people have already selected their meals? Is there any way to keep the food and cut back on the drinks? I don’t think people will mind not drinking during an afternoon reception. Instead of an open bar, you could just have non-alcoholic drinks, or maybe just one drink–like white wine. Or will the venue work with you at all to maybe scale back the portions and save a little money that way? Like make 3 meals out of what would have been 2 meals? And if you decide to do an hors d’oeuvres reception, don’t worry about it. No one will care, in the end. It’s NOT worth going into debt or extreme stress over. It will still be lovely.

@sept10bride: I’d say cancel the bar if it’s a lunch type thing. Then you don’t have to change your plans, since alcohol is usually a major expense. If you don’t want to totally get rid of the bar maybe do drink tickets.

I agree with Camrie. I would cancel the bar and stick with everything else you had planned. So sorry this is happening to you!

How much are you short if you would make some cuts like the bar?  Do you have paypal?  It’s not much, but I can send $5 to help with costs.   We are on an extreme budget ourselves, but I am happy to help another bride where I can.

@sept10bride: I really wouldn’t worry about people being “okay” with what they’d selected (unless they need a vegetarian option or have a food allergy). I think most people would understand that you can’t do what you planned but would still be appreciative of you hosting them.

I really worried that we wouldn’t have enough food (we did an afternoon heavy apps reception) and we ended up with a TON left over. I think if you make selections that are filling you could do a cocktail style reception and no one would be upset, or go hungry. We had stuffed potatoes, pinwheels and mini quiche along with a variety of meat appetizers, and fruit and cheese. There was more than enough for everyone to have a decent sized lunch.

Here are some ideas I thought of:

I’d stick with the food, or see if heavy hors douevers cost less. Or maybe do a limited bar if you can??  I saw something regarding having a “Chic White Bar” – champagne toast, white wine, and a white signature drink.  Or maybe you could do Bloody Marys, Bellinis, and Mimosas?  What type of flowers are you planning on?  Can you DIY flowers??
