We’re having our wedding at my aunt’s bed and breakfast in her garden, in upstate NY next May (we currently live in CA.) I want to have the reception in a tent (because y’never know what the weather will be like in NY!)…
so how early do I make an appointment with a tent rental company and make a deposit and all that??
I’ll have to fly to NY to meet with the florist and tent rental people… so I want to take 1 week and bang-out all the details, because I cant afford to keep flying back and forth.

If there are some super specific tables & chairs you are wanting to rent, i’d rent them right away, but if they are pretty typical tables & chairs, I would just rent them when you rent everything else!

@jenilynevette: But that’s the part I don’t understand: WHEN am I supposed to rent them? 6 months before the wedding? 3 months? 10 months?

@LadyMoriarty: There really isn’t a set time. We are renting ours 1 year in advance because we don’t want to be screwed just in case – even though our rental company has hundreds of tables & chairs.

Figure out how many vendors are in your area or will deliver to your area. If there is only 1 vendor, then get on it, if you have tons to choose from then it’s not that time sensitive. Also figure out when “peak” wedding season is in your area. The rental companies know. If your wedding will be in that peak season then get it done asap.
It’s good to know about how many people you’ll host. Call and get estimate quotes first. Figure out who has what you need.
I rented mine the week before the wedding. My wedding was during low season. Most places have you put a 50% deposit. If your numbers change they can accomodate that.
I say on average, 3-4 months should be more than fine.

I rented mine 6 months out. The rental company told me they book up fast for the summer months.
