Im so stressed/upset!
Our wedding is 10/1/16. I paid a calligrapher to address the 160 envelopes. I was feeling pretty good about mailing the invites out next week so last friday I stuffed them, stamped them and sealed them shut. Things seemed under control!
Then I found out through a guest last night that our hotel block is full! And I got a list of what guests booked and I counted that I will need to find 27 more rooms (at least) for guests! Omg I feel so dumb. I cant put an updated accommodations card in the invites because they are sealed and the beautiful calligraphied envelopes will be wasted! So now I have to find another hotel to add, change the shuttle plans as we had a shuttle going from hotel to venue, and find a way (email?) to tell my guests who havent booked their rooms to please disregard the hotel info included in their invite but instead to book at Hotel XYZ.
I didnt expect this many guests to book a room 🙁 poor planning on my part. How do I fix this?

Do you have a wedding website? I would add the info on the site. And if you haven’t included the site on your invite, I would order a stamp and stamp the back of the envelope with the site URL.

Start emaling the guests who haven’t booked, enlist your Fiance and parents (if they are involved) and between all sides, you should be able to reach most people.

I’m prettttty sure you can open a sealed envelope by keeping it in the freezer for a few hours. you’ll need to get new glue to reseal them but it will save you the hassle! do a google search though…

lilyflowers : have you called your hotel? You said the block you reserved is full but is the hotel? A lot of times you can reserve another block of your first one fills.

Email, wedding website, phone calls to those that need rooms. Have you talked to the hotel to see if the have more rooms available?

This happened to me. Mainly because my hotel didn’t tell me when we booked the block with them that there was a rowing event that they had a group blocked off for as well. There was another hotel right next door that I was able to get a last minute block with, but it was super annoying. (this happened like a month before the wedding) The original hotel was apologetic but barely claimed any blame. We took hotel bags to both locations, but obviously I would have preferred for everyone to stay at the one hotel since after the wedding we went back there. AND there was a shuttle that went to the original hotel, so those at the second one had to walk through the parking lot (not too bad) to the other hotel. *sigh* I think it was like the only thing that went wrong during planning so I can’t be too upset. After what happened with the hotel, I basically got both sets of parents to help us reach out to family and friends to see if anyone hadn’t booked yet, and letting them know the new hotel info if needed. Basically just a call/text/email. Anything will do. We also had it on the wedding website in bold caps haha!

Use a warm iron to open the envelopes, then reseal. Put a hanky or cloth between the paper and envelope

Our room block filled up pretty quickly as well. My Fiance called the hotel and was able to add 10 more rooms, which were also all booked. After that happened, we made an announcement on our wedding website that the room block was full, but listed two other nearby hotels. Try talking to the hotel first and see if they are willing to add more rooms!

MrsSapphire : gatsbybride2016 no, we dont have a wedding website but after this I wish we made one and had put the url on our invites! But that is a great suggestion abt making one and stamping the url on the envelope! ill run this idea past FI!
nikkialys : and kelmpm7809 : i called the hotel and the manager is a terrific lady. Unfortunately they have three other blocks for other weddings booked and its not that large of a hotel. She did say that the other blocks arent filling up as fast as mine did (but we also put the hotel info on our Save-The-Date Cards and maybe the other brides didnt do that) so 30 days prior to 10/1, the open rooms in the blocks will be released so she said its likely my guests can get rooms then. This is terrible news for a Type A person though because I really wanted guests to book early, not late, and had there been no other blocks at the hotel this all would have been fine.

topeonyornottopeony : theatrejulia : yep emails/texts…if it must be, it must be. Honestly Im sure this is a fine way to do it. Not prefered but everyone we invited loves us and hopefully wont judge us on our (poor) party planning skills right?!
plannerbear520 : sorry you experienced this too. I thought our hotel would notify us when the block was full and maybe just start a new block but no cigar. Its just a hassle I didnt really expect to have right now. The nearest hotel is 1/2 mile away on the opposite side of the expressway so Ill have to just have the shuttle circle over to that place too (assuming they have rooms left–if not you all will get another emotional post from me about that!). Honestly I wanted to provide our guests with a shuttle to safely get home after our wedding but now Im finding so many guests will be pregnant or the ones I was worried abt drinking said they arent staying over anyway (ill make sure to have someone drive them or make sure they are able to drive themselves) but the shuttle portion is a pain in the butt! Oh well…

I’d contact the remaining people individually, either though an email, a separate mailing or a phone call.
