Everything is going so smoothly except for one major dilema in planning!! It is a large, 300+ outdoor wedding in a grassy field by a pond. The reception is less than 50 yards away under a big tent (40 x120). Can’t afford to get double amount of chairs so… all the chairs have to then get to the reception tables after the ceremony.
It sounds easy – have each guest take their own chair. However the bride (my daughter) and groom want to make sure that they greet each guest somehow. The ushers could release each row to go through a small receiving line but it would take approx. 45 minutes or longer with that many guests. They could release each row (which would still take quite a while). They could have a cocktail hour between the ceremony and reception in a smaller tent and visit with people. I suggested that ushers release each row, we carry our chairs, and they greet/welcome us a tent entrance. They didn’t like that idea either. So… HELP!! Any ideas or suggestions would be GREATLY appreciated! Wedding is 23 days away!! Thanks!

We’ll be doing a similar wedding. What we’ll do is set up about 50 chairs for the ceremony (it will be quick so the others can stand). The other 150 – ish chairs will be set up at the tables in the tent. After the ceremony, we’ll have a cocktail hour when we’ll take family and other pictures and the guests will enjoy cocktails.
My best friend at her wedding designated about 5 guys to take the chairs to the tents. It was done in a snap, and guests didnt even notice. If you don’t set up all 300 and set up even half that, and then find 10-15 guests who wont mind helping you transport them, it will be very efficient and I’m sure very few people will notice or care. I would not recommend picking up your own chair and taking it to the tent. You’re the bride!!!

First, I’m the mom, not the bride so she won’t be carrying her chair (neither will any of the bridal party). 🙂 Thanks for the suggestions!! I’m passing along all to my daughter and future son-in-law so they can make their decision on how to accomplish this and finalize timelines. I hope more suggestions and advice come in!

I would put out those tall bar tables, throw a linen over them and tie the base. Use these around the tent close to the bar area. Then people will hang around them while your daughter and the wedding party are taking pictures. This usually takes about one hour. (the pictures…especially with a beautiful back drop of the pond) Since the tent is so close to the water I wouldn’t be surprized if people hang around to see the pictures beng taken.
Anyway, back to the chairs. While people are waiting on the pictures you can get some of the men guests to put the chairs around the tables. No worries….really this happens all the time. Unless your a millionare and money is not an issue. People expect that you get double duty out of chairs. And the men won’t mind helping. Trust me. It will be fine. You can rent the High Bar tables from the chair company for like 10 bucks each.
