Whenpenguinmetmonkey14 :  personally, I’d meet with the new coordinator as soon as they start, if possible. A year seems like a long time, but it’ll be here before you know it. Congrats on booking your venue!

Hi there! I booked my venue over a year before my date too. We had an initial meeting with the coordinator when we booked. We used this meeting to go over the contract and discuss some general things. Then we had our second meeting many months later, about 90 days before the wedding, to hammer out the rest of the details. I would probably request to have a meeting with the new coordinator when she starts, and then you will probably have a second meeting much closer to your wedding date to discuss all your details.

Once you sign the contract, it’s time to start booking the rest of your vendors. I thought that the photographer and DJ/band were the most important things after the venue, but it’s up to you what you think is important.

Whenpenguinmetmonkey14 :  It all depends on what your venue offers/allows. My venue does food onsite so we didn’t have to worry abotu a caterier -I would suggest if you need one that is something you want to book sooner than later. Also music and photographer are top priorities because they cannot do multiple weddings in a day like a florist or a cake designer. What was important to me is food, dancing and pictures so I wanted to nail down our DJ and photographer asap since I knew who we wanted. 

Your venue coordinator won’t want to start planning anything until you’re about 6 months out so I really wouldn’t worry about the replacement.

Whenpenguinmetmonkey14 :  They are going to be the ones with questions for you about the decor so what you want to do from now until they want to set up the meeting is start thinking about what you want; colors, flowers, theme. When you decide what your vision is you tell the coordinator and it’s more just placement of the decor, set-up for tables, stuff like that. If you’re looking for someone to put it together you’ll need a wedding planner more so than just a wedding coordinator. 

No problem, after I booked the venue it was a lot to think about but I find it’s best to do one thing at a time. narrow down your ideas because it’s really easy to get wrapped up and go overboard. Pinterest is your friend! lol
