@Corilee13: Sorry – I missed that. I would start it off with:

Dear (recipient), 

[Your company], a 501(c)(3) nonprofit organization, is dedicated to youth development, healthy living, and social responsibility.   

Are you printing it on company letterhead? If so, I would eliminate the paragraph with everyone’s contact info, and perhaps just include your direct line at work. 

Also, something about what their support will do, i.e., Your contribution will allow us to…{fill in…continue serving our community/make sure the poepluation we serve has a healthy holiday season/something related to your mission).

How about something like this:

 

WeCare = my fake company name

Dear Family and Friends [or business name],

This year WeCare will be hosting our annual holiday food and toy drive. WeCare is dedicated to providing the community with the much needed support during what can be a very stressful time of year for some.

WeCare is an organization that is committed to youth development, healthy living and social responsibility. However, not only are we committed to promoting the physical health of our patrons, but their mental and spiritual health as well. The overall well being of our members, their guests and our community is and always will be our top priority.

We are dedicated to providing programs that address the varying needs of our members (or patrons -whatever you prefer I think should be used throughout) in our community – and it is contributions such as yours that allow us to continue our work.

We are kindly asking you to offer your support this year by kindly donating a tax-deductible donation to WeCare. We work very hard to provide relief for families in need each year and we hope we can count on you for a contribution. Please note that any donation, whether it be product, gift cards or monetary, is always welcomed and greatly appreciated.

WeCare thank you for your time and consideration. We look forward to whatever support you can provide. If you require additional information about WeCare please contact (your name instead of me) and we will be happy to answer any questions you may have. You may also visit (our website) online or contact us directly by phone at: (our phone number)

@Corilee13: Perhaps for the tree – you could invite them to some sort of donation event? such as “we personally invite you to join us at our annual tree lighting …or something – which you could bring your donation (unused toy/$$/whatever ) …ect” if you are unable to attend we will be accepting donations by mail at: 124 ABC .. ect??
