We booked:

Venue

Photographer

Caterer

Cake

Flowers

Officiant

DJ

The venue and photographer we wanted were notorious for booking up quickly so we booked them about a year and a half in advance. We had flexibility with caterers, but picked ours out soon-ish after that (maybe a year in advance). The rest we did as we went.

We were really on the fence about an officiant so it took us longer than it should have to booked her. I would recommend booking them earlier in the game because that is a very crucial element!

This is an interesting exercies…let me see if I can remember (we’ve been planning since October 2012).

  1. Venue (includes food & beverage)
  2. Photographer
  3. DJ
  4. Florist
  5. Bought my dress
  6. Hair/Makeup
  7. Officiant
  8. Live band for ceremony
  9. Doughnuts (aka wedding cake)
  10. Booked Hotel
  11. Ordered Invitations

I feel like I’m forgetting things but I think those are the big ones. Next on the list is transportation, sending out the invitations and sorting out the day of logistics.

We booked our reception venue (including catering, all rentals and cake) first. Then our photographer and then our ceremony venue. We’re looking at bands right now, and then I’ll start researching florists. After all those things are booked, it’s most little things, and since we still have 14+ months to go, I think we’re doing ok!

Venue, photographer, and wedding coordinator.

The first two were the ones I was primarily concerned with since they book the quickest and were most important to me. Then I realized on our relatively short timeline I needed help and the day of coordinator/decorator/florist all in one was a lifesaver. Then dress, then offifiant, then catering then cake. I did makeup artist/hairstylist and harpist at the end too.

1) Ceremony location (this was important to get first as it holds sentimental meaning to us)

2) Photographer – so many were already booked at over a year away from the date! so had to make sure to book a good one.

3) Wedding Officiant – There was one lady in our area I knew I wanted so made sure this was done right away.

4) Venue – we had many options for this so it wasnt #1

So it might depend on the area. We got married in Sonoma, Ca which is a pretty small area and there is a small circle of vendors. To ensure we got who we wanted we booked most vendors about 1 year in advance, however some areas can be 18 months in advance. Book all your major vendors first and you can fill in the details as you get closer. Here is what we did:

Church (if you are getting married in one book it first! I have heard of many who book their venue to find out the church is unavailable on that date)

Venue/Catering (ours was at one place but if it’s outside catering, book the venue and then catering)

Day of Coordinator (obviously optional)

Photographer

Florist

DJ

Hair and Makeup

Cake

Ceremony Musicians

Photobooth

So far, I have booked these vendor in order:

  • Reception Site (food, beverage, hotel accomodations)
  • Ceremony Site (and known back up in case of weather – reception site)

After this week/weekend, we will have these booked (in order):

  • Photographer
  • Officiant
  • Entertainment (band)

I haven’t decided on what I want to do with flowers yet (real or silk), and will work on the cake/cupcakes later as well. Hair/make-up is on my list of research, as I will probably be doing my own make-up but will just need someone for hair. I also have a ton of little things, but am glad that we’ve got most of the big things taken care of so far!

We booked our venue first, church second.  Our photographer was next only because I knew who I wanted, so I wanted to get on their schedule right away.  Everyone else was booked as soon as I was able to make an appointment, but there was no particular order.

1. Venue (it’s a hotel so we are also getting married here)

2. Photographer

3. DJ

4. Flowers

Only other things we have had to book was officient (my friend), cake (my aunt) which happened during the rest of those things, but I don’t remember the exact order.
