(Closed) Planning a wedding out of town… flustrated! Anyone else?

Yep, I know what you’re going through! I had to plan most of our wedding a continent away–the wedding is in the UK and I was living in the US. I did play a lot of email tag with vendors as phone calls got really expensive! Even now that I live in the right country, my venue is still a 2-hour train ride away. We’re going down there this weekend, and I have 8 meetings!! I think the thing I’ve found hardest is getting makeup and hair sorted. Luckily, our vendors are fantastic and very sympathetic to our situation. The wedding coordinator at our venue is doing a lot of footwork for us, which makes thing really nice! Maybe you can get a DOC who can liaise with your vendors beforehand so you don’t have to feel so out of the loop on the day?

I’m dealling with the same fun right now…  I have one day in a week or so to get as much stuff done as possible.  I am meeting with one caterer 45 min west of my wedding site (hometown) and its possible I might have to travel 45 min east of my hometown to the big city of Green Bay to take care of Officiant stuff…..  and I’m cordinating everything from 2 1/2 hours away! I feel you!

I’m trying to cut as many places out as possible to keep the running around down.  I’m narrowed it down to two caterers, and I want to try to make the DJ decission, officiant, ect before I meet with the people so as I’m not running all over meeting with too many people!

I was worried too about picking a place 2 hours away, but it actually makes us super efficient. We make one trip for each part of the wedding: one trip to see a bunch of venues, one to see photographers, one to see cake people, one to see florists etc. It’s not easy getting appointments to line up just right, but we try to make them a few weeks in advance of each trip which means most people have a fair amount of flexibility. We block out one day for each thing, and by the end of the day, we tend to have a decision. Although the drive can be a bit tiring, I find it to be easier than spending multiple weeknights driving around meeting various suppliers.

@UK Bride:  I’m doing a similar things, but slightly different.  I’m planning my Toronto wedding from the Middle East.  I’m a 14 hour plane ride (not to mention connection times) away from my venue and everything.

It’s definitely not the easiest thing to do, but hopefully it’ll be worth it. 🙂

Planning from a distance certainly isn’t easy. I can relate – we are planning a wedding thta will be 3.5-4 hours from our home. I rely on phone calls and emails to set/confirm appointments, get more information, etc. I think it’s important to explain your situation to vendors; I’ve found they are more willing to work with you after learning you don’t live close and/or can’t make meetings during the weekdays.

 

I think it’s important to pay attention to how much these vendors are willing to accomodate you (within reason, I’m not saying to expect red carpet treatment), work with you, and respond within a reasonable amount of time. All of these qualities should indicate whether they should even be a part of your wedding day – before you sign any contract and lay out deposit money! Good luck!

@HappilyEverAfter54: I just avoided looking at Harrisburg/Lancaster sites all together and put my foot down on Texas since we could get a sort of “friends” deal for 3k or so for the ballroom, and chapel. I’d love to do a second recpetion/anniversary thing at the Civil War Museum or the SMOP but both are expensive!

I’m 14 hours away from our wedding site…I hired a wedding planner and she’s saving my life.  Best money we will spend I can guarantee it.  We already have all our majors booked, menu chosen, flowers picked etc.  Just need to do the final tallies, final selections etc and go from there.

I didn’t read all the responses, but just wanted to tell you that I sympathize!!

We live 3 hours from where the wedding will be (it’s near my parents’ place). We visit about once a month and we cram as many meetings as we can into those weekends!

The worst is scheduling conflicts with vendors, especially when we are only in town for 2 days!! I called one vendor over 2 weeks in advance to schedule a meeting and she only had 1 time slot available the whole weekend. Right smack in the middle of another appt I had already made. Couldn’t move the original appt so now we can’t meet. A lot of the vendors have weddings on Saturdays and can’t meet and I had a few tell me they’re closed on Sundays. Okaaaay, so when do YOU suggest we meet up Mr. Vendor?

SO FRUSTRATING!!

@winerygirl: I totally agree! We have just had to buck up and make decisions because we know we won’t be back for another few months each visit, and by then the vendors we like would be booked.

At least now we know that all of the crucial stuff (venue, dress, food, photographer, flowers, DJ) are booked. Now on to the fun stuff like cake tasting.

I 100% understand! I am 3.5 hours away from where the wedding is, and I haven’t met half of my vendors! Luckily my mom and Future Mother-In-Law are awesome and have been doing a lot of leg work for me. I haven’t made it home since July, and don’t know the next time I can make it home. I don’t think I am even going to make it home over Thanksgiving! Aghh!

We need to schedule things like cake-tasting and pre-marital counseling and I have no idea when it will happen! *head explodes*
