So while I was looking into venues, I did my research and compiled a list of questions together to send to venues. I’m sharing this list with you all in case you are stuck trying to find the right questions to ask. Hope this will be useful in you planning process. happy planning!
We are planning to have roughly xxx people (including bridal party)
Do you have xxx open?
How big is the venue size?
What is the capacity of the venue?
What is the minimum people required to book the venue?
Is there enough room to fit bar area, DJ table, cake table, and other tables if needed?
Is there room in the wedding venue for dancing?
Do you have pictures of the venue without decorations? What is the room layout?
Is there an outdoor venue option and what is the fee?
For outdoor venues, what is the backup option in case of rainy day?
What is the scenery for outdoor venues and which side does it face? (sunset, lake, forest etc)
Are there picturesque locations for photo opportunities? Both inside and out?
What is the basic facility rental fee?
Are there different rates for different days? (Friday, Saturday or Public Holidays)
What are the time slots?
Will there be another party during, before or after yours? If so, how will this affect your event?
What are the overtime charges?
Will there be a wedding coordinator for the day?
Are there any ceremony locations nearby?
If the ceremony is held in same place, how will the logistics work?
What is the ceremony rental fee and what does it include?
Do you have a coat check room?
Are washrooms located close?
Are there any hidden costs? Are deposits non-refundable?
What are the following fees?
– Administrative fees
– Bartender fees
– Waiter fees
– Attendant fees
– Set up fees

What does administrative fee cover?
Are tips included?
What kinds of taxes are included?
Is there a payment schedule? How much deposit is required? What do you take? (Checks, CC, etc)
What is the cancellation policy?
Do you have in-house catering? If not, what are the preferred caterers?
Do you have an in house kitchen? What is the fee?
What are the menu packages and prices?
Do you offer a kids menu and what is the age limit?
Do you have plated food, shared family style or buffet style options?
Tasting options and prices?
Are there after dance snack options? Can we order from outside and is there an additional fee?
Do you have a liquor license?
Can we bring our own liquor and what is the corkage fee?
What are the bar options and does it include bartender fee?
What are some nearby hotel accommodations?
Any preferred vendors for DJs, flowers, or can we use outside sources?
Does your wedding venue already own a sound system with adequate speakers or will that need to be rented?
Does the site have any music or noise restrictions?
What kind of lighting options do you provide (up lights etc) Can we bring our own lights?
Are there any media options like projectors and what is the fee?
Are there rooms for changing and resting and what is the fee?
What are the parking options?
Do you provide vendor meals and how much per plate?
Are table, chairs, linens, plates, glasses, silverware etc. included in the facility rental fee? What kind are they?
Do you have a cake cutting fee?
Are there any decorating restrictions?
Are candles allowed?
Can we bring our own décor like string lights or centerpieces? Are there any set up fees? Are we allow to do it on our own?
How far in advance are we allowed to decorate the space?
Are there adequate power outlets in the space? Is electricity included in facility rental fee?
