Start with your ceremony time and work backwards.  For us, our ceremony will start at 6, which means we need to be done with photos and at the venue by 5:15, which means we need to start pics by 3:30, etc.  I told my hair and make-up vendors what time I wanted to be fully dressed and ready for pictures, and they told me what time they would need to get started.  Therefore, my day “starts” at 11 a.m., FI’s at 2 p.m.

here’s my input, for what it’s worth.

working backwards from a 3 pm ceremony. Are you arriving last? or will you already be at venue before or as guests are arriving? this is important.

You say you are doing a first look beforehand (great idea!) but are you also doing the rest of the formals with your wedding party and parents and such? If you are doing the whole she-bang, then plan for 90 minutes. If it’s just a first look and then you’re heading to venue, then maybe only 20 minutes, plus the travel time.

so hair and make up for 5 or 6 of you plus 2 flower girls? at least two hours just for you. less for the rest. In total, I’d plan for 3 hours. More time if you have it, so no one is stressed!

okay, so if you are doing all your formals before, you need to meet at the location by 1pm, be done by 2:30, and then travel to venue to arrive for 3pm. but wait! are the groomsmen doing your ushering? Will they need to be there early? this is getting tricky, isn’t it?

Maybe do your first look and formals at 12:30 so you’re finished by 2pm, giving you an hour before the ceremony starts. Unless it’s just the first look.

that means you need to start hair and make up by 9 am, since you’ll need to be done by noon and you’ll have half an hour to eat lunch (seriously- dont’ skip lunch!!) and travel to location for photos.

i hope this helps! i made a day-of timeline in excel, and personalized it for everyone and emailed them the pdfs a week before the wedding, so everyone know the when and where. Highly recommend it. 🙂
