So a friend of mine has asked me to be her Day Of Coordinator. I’ve done this in the past for other weddings but just as favors to help out, never gotten paid for it. My friend refuses to let me do it for free, she says I’m selling my self short by not charging for my services. I have NO idea what to charge and feel awkward even suggesting an amount? This is what she wants me to do. What do you think?
Pre-Wedding Setup (Ceremony):
- Setting up Chair bows
- Ensuring florist has everything out for the Ceremony (arch, pillars, etc.)
- Setting up Guest Book/Gift Table
- Setting up Programs
Pre-Wedding Setup (Reception):
- Set up candy buffet table
- Set up placecards & favors & seating chart
- Ensure florist centerpieces are where they should be (w/mirrors)
- Ensure cake is set up on cake table & any decorations on cake table are out
- Ensure florist vase on sweetheart table for bridal bouquet
- Ensure our champagne flutes are on sweetheart table
- Ensure our cake cutting set out on cake table
- Ensure DJ arrives for cocktail hour & reception music and has everything he needs
- Ensure “Anniversay Dance” gift is somewhere convenient in the reception area
- Place table numbers on appropriate tables
- Ensure linens are correct
Pre-Wedding:
- Help herd bridal party to pre-wedding photos
- Help make sure the guys arrive when they’re supposed to, but after the girls’ photos
- Help herd groom’s party for photos
Ceremony:
- Ensure everybody is in place when they should be and that the bride isn’t seen by the groom!
- Help with the timing of the walk in (i.e., groomsmen will usher until it’s time to start, then walk in with groom & pastor, family walks in, bridal party walks in)
- Cue for guitar playing: when to start ambiance music, when to start grooms/family music, when to start bridesmaids music, when to start bridal processional, when to play recessional
- Help getting us all out to pictures in a timely manner
Cocktail Hour:
- Make sure the tables with floating florals are set up on cocktail tables
- Keep guests out of reception area
- Make sure bar moves into reception area after cocktail hour
- Make sure DJ has music on during cocktail hour
- Make sure guest book/gift table gets moved if necessary to the hallway for the cocktail hour
- Make sure guest book/gift table gets moved to reception
- Make sure florist moves arch, pillars, etc. into reception area after ceremony
- Pick up pew bows
After:
- Help us gather all the florist’s vases for return (we’re doing that)
- Help us gather our things (candy buffet stuff, table numbers, guest book, decor, etc.)
- Help us make sure we get everything!
Rehearsal:
- Help us line up and figure out where we’re all going and when!
- Keep everybody on the ball during rehearal
- Come enjoy dinner with us after the rehearsal 🙂
